A painting quotation scope checklist
Compare painting quotations against the same surfaces, preparation and materials. A useful written scope also explains access, protection, exclusions and how changes will be approved.
Give each quotation the same surface list
List the walls, ceilings and other items you want included by room or elevation. State whether doors, frames, gates and boundary walls are part of the enquiry. Ask how quantities will be measured and whether the measurement basis is the same across quotations.
Floor area and painted surface area describe different things. If a price uses an area rate, ask which surfaces and preparation that rate covers. Keep separately assessed items visible so a lower total does not hide an omitted ceiling, repair or difficult access area.
Write preparation and repairs into the scope
Ask for the preparation proposed for each surface after assessment. This may include work to existing coating, agreed repairs and the steps required by the chosen product system. A broad promise of “complete preparation” leaves the boundary between decorating and repair uncertain.
Identify unresolved conditions such as recurring damp marks or defects exposed only when work begins. Record what the initial quotation includes and how further investigation or additional repair will be approved. Ask who will make good after any related plumbing or electrical access work.
Name materials and record approvals
Request the proposed product names, finish and colour reference for each surface. Include the preparation system and application requirements that apply to those products. If substitution becomes necessary, agree how a replacement will be discussed before it is used.
Where a sample is part of the agreement, record the approval and the surface it applies to. A coat count alone does not describe the condition of the surface or the full specification. Ask how readiness and the agreed finish will be checked.
Worked example without a price
For a bedroom and an exterior gate, the brief could list bedroom walls and ceiling as separate surfaces, with retained doors excluded unless added explicitly. It could record one peeling wall patch for assessment and request a full-wall repaint boundary if that is the owner’s preference. The extent of preparation and any underlying repair would still need assessment.
The gate would have its own scope line identifying accessible faces, observed corrosion or coating damage, required assessment and the agreed finish. Furniture protection belongs with the bedroom arrangements; access and protection around the gate need a separate note.
Each quotation can then respond to the same brief with measured quantities, proposed products, preparation, responsibilities and exclusions. A price is intentionally absent from this example because no property has been assessed and no material system or quantity has been agreed.
Clarify access, protection and changes
Confirm who moves belongings, protects floors and fittings, supplies access equipment and clears painting waste. State any occupied-room or business-opening constraints. Ask what conditions could change the provisional programme and how those changes will be communicated.
For extra work, agree a record of the proposed change, its price and its effect on timing before approval. Keep payment stages and applicable charges clear in the quotation. Verbal changes are harder to compare with the original surface list at handover.
Separate workmanship terms from product terms
If a warranty or guarantee is offered, request its written provider, coverage, conditions and exclusions. Workmanship terms from the contractor and product terms from a manufacturer may cover different matters. A named paint brand does not by itself establish either promise for your property.
Before accepting handover, compare completed work with the scope and approved changes. Record outstanding items and the agreed next step. Keep the final product and colour details, care instructions and any written terms together so later maintenance or a query about the work starts from the same record.
